This checklist will help you to identify what tasks are suitable for outsourcing to a Virtual Assistant, and which will be better to be kept in-house.

HOW TO USE THIS CHECKLIST

The checklist is best used alongside the accompanying blog: How to choose what to outsource to a VA.

Whilst the checklist does include instructions, the blog has a lot more information on the type of tasks a VA can do, as well as examples of how to break down your tasks, and a list of tasks you can outsource to a VA.

Categorise your tasks

Repetitive/routine tasks: These are tasks you do the same way every time, following a predictable pattern. Think email management, data entry, or social media scheduling. Tasks with clear instructions/processes: Anything that can be documented with clear, specific steps is ideal for outsourcing. Your VA can help you create SOPs for future use.

Non-confidential work: Tasks that don’t involve sensitive business information, personal client data, or strategic decisions are safer to outsource initially.

Tasks that don’t require your specific expertise: Most business supporting tasks don’t need to be an expert in your field of work. Your VA doesn’t need to understand complex industry regulations to complete your weekly or monthly bookkeeping.

Keep, delegate or collaborate

Use the checklist to list your daily, weekly, monthly and annual tasks, and select which ones can be kept, delegated or collaborated:

Keep: These are tasks that require your specific expertise, decision-making authority, or personal relationships.

Delegate: These are tasks that your VA can take off your hands completely.

Collaborate: These are tasks that your VA can assist with or manage until your approval or expertise is required.

Marathon not a sprint

Whilst you can certainly outsource some tasks pretty quickly, you don’t need to have categorised all your tasks before you can start working with a VA.

You can either begin with a relatively small task to start building a relationship with them and then gradually add more tasks, or choose the task that is causing you most stress and overwhelm and then introduce others.
